What Shipard cannot do yet

Translation of a page from the Czech user documentation. The Czech original is authoritative. Tax terms refer to the Czech system (VAT return, VAT control statement, recapitulative statement); English names of parts of the application are the ones used in its English interface.

Shipard is in alpha. This page deliberately keeps everything in one place, so you don't have to look for a function that doesn't exist yet — and so nobody promises it to you.

The list changes. If you can't find something here or in the documentation, write to podpora@shipard.cz.

Areas that don't exist yet

You won't find these parts of accounting operations in Shipard at all yet:

  • Inventory — goods received and issued notes, stock levels and movements.
  • Projects — assigning documents to a project and evaluating it.
  • Year-end closing — closing the year. You can still calculate the balance sheet and income statement for a chosen period as a report.
  • Payment orders and a direct bank connection. You upload statements as a file and enter payments in your internet banking.
  • Recurring invoicing — contracts from which invoices would be issued automatically.

Tax outputs

Shipard does not submit filings anywhere. It produces the file for the tax portal (XML) and a printable copy and stores them with the filing, but you submit it to the portal or through the data box (datová schránka) yourself — see VAT filings.

A follow-up recapitulative statement is filed by Shipard in full again, not through cancellation lines. The tax office accepts both ways; if only the second one works for you, let us know.

The VAT control statement cannot answer a notice from the tax administrator (the quick "no obligation / I confirm" reply), nor does it support section A.3 (investment gold).

Special schemes are not reported by Shipard. Travel services (§ 89), second-hand goods (§ 90), correction for bad debts (§ 46) and proportional deduction (§ 75) are filled into the control statement as "ordinary supply" without a flag. If you use them, check the file before submitting.

The period lock is manual and monthly. Neither a filed return nor a fiscal month locks itself — you click Lock period on the filing, or tick Locked on the month (see Locking a period). Ticking Locked on a whole fiscal year does not block documents yet, there is no overview of locks across the whole year (year × month), and from a locked document you have to click through to unlock it yourself. Only an administrator can re-post a locked document, from the console.

Shipard does not yet match the payment to the tax office. The accounting document of the return does create a payable (or receivable) towards the tax administrator with payment reference, specific symbol and due date, but the VAT payment and excess-deduction accounts are not in the balance ledger — a payment from a bank statement won't match them on its own, you assign it by hand. The accounting document of the return is also always created as a Draft: it is posted only once you close it.

The annual settlement of the deduction coefficient (line 53) and the adjustment of deduction (line 60) are not calculated by the live return. The reduced deduction through the advance coefficient (line 52) works — you enter the coefficient per year in Settings, see Live VAT outputs. You can store the settlement coefficient, but the settlement line of the last return of the year is filled in by the accountant for now — and the difference between the advance and settlement coefficient is not reflected in the accounting document of the return.

Issued invoices: sent one at a time, fixed appearance

You send documents one at a time, by hand. You send an invoice, a proforma invoice, a cash document or a retail sale to the customer with the Send button — see Sending an invoice by e-mail. Bulk sending of several documents at once and automatic sending on issue are not available yet.

Only documents are sent. Reminders, quotes, orders and overviews don't leave Shipard by e-mail — the contact purposes for them are prepared, but nothing uses them yet. A standalone e-mail without a document cannot be written.

Shipard doesn't know whether the message arrived. The Sent state means the mail server accepted it. Neither bounces nor reading are tracked.

An electronic invoice (ISDOC) is not attached to the e-mail.

You change the appearance of a printed document only in the header. You set the header colour and the side the logo is on; there is one document layout. Other fonts, colours in the body of the document and custom templates are not available yet.

You can't get a signature or a stamp onto the document. The footer carries the name of whoever issued the document — see Who issued the document —, but an image of a signature or stamp cannot be inserted. The cash document and Accounting entries only have blank lines for a handwritten signature.

Your company's contact details are not in the document footer. The footer carries the company name, Issued by and the page number; phone, e-mail and web are not printed in it yet. You get them onto the document with a custom text placed at End of the document — see Texts on printouts.

A custom text on a document can't be limited to one customer or one cash desk. It can target a print, a document type, a numbering series and a language. You can't try the text out on a specific document before saving it — you only see it in the print preview. Images and tables can't be inserted into the text.

The e-mail with the document is plain text only. You set the default subject and text in Texts on prints and rewrite them for a single message in the Send by e-mail window. No formatting, images or signature with a logo in the e-mail.

You print a document only in Czech, English, Slovak and German. There are no other languages — a customer from another country gets an English printout.

The QR payment code is Czech only. The code on the document is read by the banking apps of Czech banks; there is no other standard for customers abroad yet.

Shipard won't issue an invoice for machine processing (ISDOC). The PDF is only an image of the document for a person.

A corrective tax document has no print of its own. In Shipard a credit note is an invoice with a negative amount and prints with the invoice title — with no reference to the corrected document and no reason for the correction.

You can't issue an invoice from a proforma with one click: once you receive the advance, issue the invoice by hand and deduct the advance on it with an Advance payment deduction row carrying the proforma's payment reference. A tax document for an advance received is not supported yet — so you declare the tax on the advance received only with the invoice. See Proforma invoice.

Shipard doesn't create a supplier's request for payment from mail on its own. AI recognises it in the mail and puts it on the Dashboard in the To handle section, but no document is created from it — you enter the received proforma invoice by hand in Purchase → Received proforma invoices and pay according to it. Deducting an advance paid on the final received invoice is entered by hand with an Advance payment deduction row carrying the request's payment reference — Shipard won't offer the advance for the invoice on its own, and a tax document for an advance paid is not supported yet. See Received proforma invoice and Receiving mail.

Cash desk: no cash book and no receipt from a receipt printer

Shipard does not keep a cash book yet. Cash documents and retail sales are posted to the cash account, but there is no overview of the cash desk balance and movements for a period, no opening balance and no cash desk count. Today you find the balance only in the accounting journal or the general ledger on the cash account.

You cannot print a receipt on a receipt printer. Retail sales and cash documents print only as a PDF on an A4 page. You have to give the customer at the counter a narrow receipt from another device.

Shipard does not create the settlement from a payment gateway, terminal or carrier itself. A sale by card, through a gateway or cash on delivery creates a receivable from the payer (see Payment by card, gateway and cash on delivery), but the summary settlement with fees, which closes these receivables and prepares the credit from the gateway for matching, you still enter by hand as an accounting document. The credit from the gateway on the bank statement is not assigned to the batch on its own.

Assets

Assets are posted only in a batch per period. Activation, depreciation and disposal are posted by Depreciation for period with one document (see Posting assets); posting an activation on the day it happens is not possible yet. Deferred tax and the units-of-production and accelerated accounting methods (AV / AM) are not available yet.

Selling an asset is not linked to its disposal. You can attach the issued invoice for the sold asset to the card (see Assets on documents), but you remove it from the register yourself with the Dispose button. A card can be created only from the acquisition row on a received invoice — AI doesn't suggest a card when extracting the invoice.

The card doesn't see where the item is. Handing over for use (who has the item), location, accessories, properties by type and inventory lists are not available yet — so the asset register shows neither a person nor a place.

You can't print an asset card or the reports. Printing the card and the reports to PDF is not available yet; you download the reports as Excel or CSV and print them from a spreadsheet (see Asset reports). Tax depreciation for the income tax return is a basis by depreciation group — Shipard doesn't carry it into the lines of the return form.

We migrate assets from the old Shipard for you, like the rest of the data — cards including the depreciation history and links to documents. If you have assets in the old Shipard and don't see them in the new one, write to support before you start creating the cards by hand.

A set and a quantity card are only labels for now. You can choose Tracking on the card, but Shipard doesn't behave accordingly yet — no quantities, no parts of a set.

Where the numbers may not add up yet

Correct numbers are priority number one for us. A known case where the result doesn't add up on its own yet:

  • A credit note refund from a bank statement — Shipard keeps a credit note for an issued invoice in the balance ledger as a payable and a received credit note as a receivable. When the customer or supplier then actually refunds it from their account, the payment ends up in Nespárované platby (unmatched payments) and the case stays open until you assign it by hand. A refund of an overpayment (more paid than invoiced) is matched on its own.

If you find a difference, we want to know even if it's a single crown. How to report it is in TESTERS.md.

AI extraction of invoices

  • Extraction is not guaranteed to be correct. It's a draft to check, not a finished document. A high Confidence means the model had no doubt — not that it is right.
  • One e-mail produces at most one draft document. When a message carries several documents (two invoices, an invoice plus a contract), AI extracts only the main one; you'll see the other findings on the card as a note and create them by hand. This is a deliberate limitation, not a reading error — send several invoices as separate e-mails.
  • It cannot be configured "per supplier". Habits are taken into account from your history so far, but there is no screen where you would enter rules for a specific supplier by hand.
  • You cannot run the analysis whenever you like. The first one runs automatically when a message arrives; manually you can only Re-analyze a message that has already been analysed or where the analysis failed. A message in the Archive or in the bin cannot be re-analysed.
  • Shipard doesn't suggest a sender rule on its own. Even if you keep clearing mail from the same address by hand, no rule suggestion arrives. You create the rule yourself in Nastavení → Ostatní → Pošta → Pravidla odesílatelů (Settings → Other → Mail → Sender rules), see Receiving mail.
  • You can't re-run preprocessing. When downloading an invoice from a link or converting the e-mail text to PDF failed (the Done with errors badge), there is no button in the application to try it again. Download the document by hand and upload it on the Dashboard; Re-analyze doesn't repeat preprocessing.
  • You can't edit a line's text in the draft preview. A line gets its text as AI read it — the item name and, after a dash, any additional description (billing period, service number). Exactly this text is what you see in the preview and exactly this ends up on the document; it can be corrected only in the Draft, after Issue as draft.
  • The contact person from the invoice stays in the preview only. The name given for the supplier or customer ("Vyřizuje", "Attn", a name above the company name) is read by AI and shown in the draft preview as Contact. It is not carried onto the document or to the supplier in Persons; if you need to keep it, add it to the supplier by hand.
  • Self-assessment (reverse charge) has its limits in the draft. An invoice for services or goods from the EU, services from a third country and domestic reverse charge (construction work, waste and scrap) is handled by the draft on its own: it determines the VAT code of the lines from the data on the document and recalculates the VAT summary with a self-assessment line. It won't recognise a reduced rate under self-assessment on its own (it uses the standard rate) — pick it in the preview by clicking the badge next to the line's rate. What it can't do yet: an invoice with foreign VAT (a hotel or fuel abroad), reverse charge beyond construction work and Annex 5 (mobile phones, emission allowances…), import of goods from a third country (VAT is handled from the customs document, not the supplier's invoice) and services from abroad with a special place of supply (accommodation, train and air tickets, catering, rent and services relating to real estate, tolls, parking). For these there is nothing in the code menu in the preview, the draft ends with a VAT code error and you create the document by hand.
  • Self-assessment for a non-payer — an identified person. When you have no valid VAT registration as of the invoice date, the draft is created No VAT and no tax is assessed on it, even for an invoice under reverse charge (a service from the EU, goods from the EU). The preview warns about it. If you are an identified person, you have to declare the tax on such an invoice outside this document.

When a supplier attaches an invoice in the ISDOC format, the data is taken over directly without AI reading it — it's more accurate. AI is used for it only to sort the lines into categories when you have no item for them from your history. It pays off to ask suppliers for ISDOC.

Built-in AI assistant (Chat)

  • The assistant can only read. It won't create a document, change a record or send anything. It advises, finds and calculates — you have to do it.
  • It doesn't know everything. When you ask about a procedure and the assistant says it doesn't know, that's the right answer — better than a made-up guide.

Data management and operations

  • You cannot back up and restore your data source yourself. We back the data up; restoring from a backup is handled through support today.
  • A data source cannot be deleted from the interface. Write to support.
  • You don't migrate data from the old Shipard yourself. An import exists, but we run it and then compare checksums with you.
  • Users and access are set up by hand. See TESTERS.md.

Interface

  • There is no mobile app in the App Store or Google Play, and none is planned. The interface is responsive, and you add Shipard to your phone's home screen or install it on your computer straight from the browser — see Installing the application. The installed application, however, does not work offline and does not send notifications to your phone.
  • You can't print a report or save it as PDF straight from Shipard. You download it as an Excel workbook or as CSV and print it from a spreadsheet — see Exporting a report to Excel or CSV. Lists (invoices, persons, the accounting journal…) can't be downloaded to a file.
  • The English interface is not complete. Czech is the main language; in English you may run into untranslated labels.
  • You'll run into unfinished screens. You can't break anything we couldn't fix.
